Define the requirement
Start with the intended application and the material specification. A commercial description alone may not define the properties that matter to a formulation, such as active content, molecular characteristics, purity, solvency, compatibility, viscosity, water content or other application-specific limits.
Bring the documents together
Review the technical data sheet, safety data sheet and certificate of analysis together. Check that product identity, grade, key specifications and test methods are consistent across the documents. Record the manufacturer, document revisions, country of origin and batch reference where available, and ask the supplier to explain any inconsistency before proceeding.
Coordinate the evaluation
Agree what a sample evaluation needs to establish and which specification will apply to commercial supply. Where the material is formulation-critical, compare the sample against an approved reference using relevant analytical or performance checks before scaling up. Record packaging, storage, shelf-life and handling requirements alongside the technical discussion.
Prepare a useful sourcing enquiry
- Material identity, grade and intended application
- Required specification and available reference documents
- Quantity and packaging requirements
- Destination and timing
- Sample and evaluation requirements
